Utopia Gems Stays is operated by S.S. Dynamic Event & Rentals LLC (“Utopia Gems Stays,” “we,” “us”). This Privacy Policy applies to utopiagemsstays.com, to bookings made with us directly or through a booking platform, and to stays in our units. It works together with our Terms of Use.

Information you give us

• Contact details: name, email address, phone number and billing address.
• Booking details: dates, number of guests, arrival time, pets, special requests and the messages you send us.
• Documents you complete, such as a signed rental agreement.
• Newsletter sign-ups, reviews and feedback.

Information from others

• Booking platforms such as Airbnb, Vrbo and Booking.com share your booking and contact details with us when you book through them.
• Our guest-verification provider tells us whether verification was completed. The provider handles the identity documents you submit under its own privacy policy.
• Payment processors confirm that payment was made. We do not store full card numbers.

Information collected automatically

• Website data: IP address, browser and device type, pages viewed and how you move through the site, collected with cookies and similar tools.
• Smart-lock records: our units use smart locks. The lock system records when a door code is used to lock or unlock the door.

Cameras. We do not place cameras or audio-recording devices inside our units. Cameras may be in use outside the units, such as at entrances and in shared areas of the community like gates and parking.

• Confirm, manage and support your booking and stay.
• Send you access details, check-in instructions and messages about your stay.
• Take payment and prevent fraud.
• Verify guests and protect our units, neighbors and community.
• Handle damage claims, disputes and chargebacks.
• Understand how the website is used and improve it.
• Send offers and news, where you have agreed or the law allows.
• Meet legal, tax and accounting obligations.

We share personal information with:

• Service providers that work for us: booking and property-management software, payment processors, guest-verification and damage-protection providers, our smart-lock provider, email and messaging tools, website hosting, and analytics and advertising tools.
• Cleaning and maintenance partners, limited to what they need, such as stay dates.
• Booking platforms, when your booking was made through one.
• Building management, where the community requires guest or vehicle information.
• Authorities and advisers, when required by law, or to protect our rights, guests, property or the public.
• A successor, if our business or assets are sold or reorganized.

We do not sell your personal information.

The website uses cookies and similar technologies. Essential cookies keep the site working. Analytics cookies, such as Google Analytics, help us understand how the site is used. Advertising cookies, such as the Meta Pixel, help measure and show relevant ads.

When you first visit, our cookie banner lets you accept or decline non-essential cookies, and you can change your choice at any time using the cookie icon on the site. You can also block cookies in your browser settings.

The site includes content from other companies, such as booking widgets, YouTube videos and review tools. Those companies may collect information when you interact with their content, under their own privacy policies.

If you join our mailing list, we will send you offers and news by email. Every marketing email has an unsubscribe link, and you can also ask us to remove you at support@utopiagemsstays.com. Messages about a booking, such as confirmations and access details, are not marketing and will still be sent.

We keep personal information for as long as needed for the purposes in this policy. Booking and transaction records may be kept for up to seven years for tax, accounting and legal reasons. Smart-lock records and website data are kept for shorter periods. When information is no longer needed, we delete it or make it anonymous.

We use technical and organizational measures to protect personal information, including encrypted connections, access controls and reputable service providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If you believe your information has been compromised, contact us right away.

You can ask us to:

• Tell you what personal information we hold about you and give you a copy.
• Correct information that is wrong or out of date.
• Delete your information, where we are not required to keep it.
• Stop sending you marketing messages.

To make a request, email support@utopiagemsstays.com. We may need to confirm your identity first. Depending on where you live, you may have additional rights under your state’s privacy laws, and we will honor requests as the law requires. We will not treat you unfairly for making a request.

Our website and booking services are intended for adults aged 18 and over. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.

We operate in the United States. If you use our website or book from another country, your information will be transferred to, stored and processed in the United States, where privacy laws may differ from those where you live.

We may update this Privacy Policy from time to time. The updated version takes effect when posted, with a new date at the top.
